Connect Outlook to Rig

Sync an Outlook or Microsoft 365 mailbox into Rig: message subjects, senders, bodies and mail folders. Outlook connects by signing in with Microsoft, so there is no token to paste.

    Before you start

    • Sign in with the Microsoft account whose mailbox you want to read. Rig reads one mailbox per connection.
    • Rig asks for the delegated Mail.Read permission. Microsoft lists it as not needing admin consent, but your organisation's own consent policy can still require an admin to approve it.
    • Decide whether you want every folder. You can limit the sync to one well-known folder such as inbox or sentitems.

    Connect it in Rig

Adding a source needs a workspace owner, or a role with the Manage connections permission, on a workspace where you manage your own connections. If the Connectors tab says “Data ingestion for this workspace is managed by Rig”, ask an owner or Rig support to add the source.

    1. In Rig, open Connections, choose the Connectors tab and go to Sources & actions.
    2. Search for Outlook, open the card and click Connect.
    3. Mail folder (optional): a well-known folder such as inbox or sentitems. Leave it blank to sync all mail.
    4. Max messages (optional): a cap on the first backfill, such as 1000. Leave it blank for no cap.
    5. Click Authorize with Outlook, sign in and approve the consent screen, then choose the streams you want.
    6. The source then syncs on its schedule, which is nightly unless you change it. To load data straight away, click Sync on its row; Test pulls a small sample first if you want to check the connection.

    What Rig pulls in

Outlook lands in its own outlook schema in your warehouse:

    • Messages: subject, sender and body for each message.
    • Mail folders: the folders in the mailbox.

Later syncs only pull mail received after the newest message already loaded.

    Good to know

    • Microsoft describes Mail.Read as letting an app read the signed-in user's mailbox, so Rig sees what that user sees.
    • If the consent screen asks for an administrator, ask your Microsoft 365 admin to approve the app once for your organisation.
    • To disconnect Outlook, click the bin icon on the source's row under Sources & actions. Only whoever connected the source or a workspace owner can do this, and data already synced stays in the warehouse.

    What people use this for
