Connect Asana to Rig

Rig syncs your Asana projects, tasks with their custom field values, sections, tags, users, teams and portfolios into your warehouse. Task comments and activity are available when you switch them on. You connect with an access token and your workspace GID.

    Before you start

    • Tasks are read through Asana's task search, which needs a Premium or Business workspace.
    • Decide which token to use. A personal access token reads only the teams, projects and tasks its owner can see. A Service Account token reads the whole workspace and is available on Enterprise plans.

Step 1: Create an Asana access token

    1. For a personal token, open the Asana developer console at app.asana.com/0/my-apps.
    2. Select + Create new token, enter a Token name and click Create token.
    3. Copy the token and store it securely.
    4. For a Service Account token, a super admin creates it in the Admin console under Apps then Service accounts with Full permissions. A scoped token cannot call the standard API.

Step 2: Find your workspace GID

    1. While signed in to Asana, open https://app.asana.com/api/1.0/workspaces in your browser.
    2. In the JSON, copy the gid of the workspace you want.

Step 3: Connect it in Rig

Adding a source needs a workspace owner, or a role with the Manage connections permission, on a workspace where you manage your own connections. If the Connectors tab says “Data ingestion for this workspace is managed by Rig”, ask an owner or Rig support to add the source.

    1. In Rig, open Connections, choose the Connectors tab and go to Sources & actions.
    2. Search for Asana, open the card and click Connect.
    3. Access token: Your personal access token or Service Account token.
    4. Workspace GID: The numeric gid of your workspace.
    5. Click Continue. Rig checks the credentials and lists the streams it can reach, so choose the ones you want and click Connect.
    6. The source then syncs on its schedule, which is nightly unless you change it. To load data straight away, click Sync on its row; Test pulls a small sample first if you want to check the connection.

    What Rig pulls in

Asana lands in its own asana schema in your warehouse:

    • Projects, sections and tasks: Projects, their sections, and every task including subtasks, with custom field values.
    • Custom fields, tags and teams: Custom field definitions, tags and teams.
    • Users: The people in the workspace.
    • Portfolios: Portfolios with their items and members.
    • Stories: Task comments and the activity feed. Off by default, because Asana needs one request per changed task.

    Good to know

    • A personal token misses what its owner cannot see. A Service Account token reads the whole workspace and every portfolio.
    • With a personal token, only portfolios its owner owns are listed. A portfolio whose ownership moves is flagged deleted, along with its items and members.
    • Stories you delete in Asana stay in the warehouse, and edits to a story are refreshed only when its task next changes.
    • To disconnect Asana, click the bin icon on the source's row under Sources & actions. Only whoever connected the source or a workspace owner can do this, and data already synced stays in the warehouse.

    What people use this for

    • Measure task cycle time and completion throughput
    • Track project health and on-time delivery
    • Balance workload across assignees
    • Report on custom fields and request intake
